Process management can be seen as the holistic basis for this. Process management is primarily aimed at anchoring process thinking in the organization by clearly defining roles and responsibilities.

Although a practiced process management forms the starting point for the long-term success of a company, in reality this topic is often tackled out of necessity. Thus, the process framework is only modeled during upcoming audits – without critical questioning. The result is that the additional tasks are perceived as a nuisance and supposed process management is quickly forgotten.

Major system changes such as factory expansions or ERP implementations also lead to processes having to be fundamentally considered and rethought. Process management

A process is a sequence of activities with a defined beginning and end. It has one or more owners who are responsible for, among other things, periodic inspection and adjustment. Defined and documented processes can ensure uniform processing of tasks, independent of the process knowledge of individual persons. Whereas, a lack of standardization of processes leads to inefficient and slow processes that need to be avoided. Processes of individual business units are part of the business process architecture of the entire company. Interfaces and cross-divisional processes must be defined jointly with all stakeholders within the framework of the specified enterprise-wide architecture. By documenting and adhering to the processes, the stability of the processes is ensured despite, for example, increased complexity or frequency of change. A key factor for successful process management is the definition of responsibilities and the assignment of specific roles – from process owners for individual processes to the head of the entire process management.

Process modelling

Modelling processes for documentation includes each process step in the processing sequence. This includes, among other things, other input data, documents and systems that are required for the respective process. Process modelling serves to create transparency and thus make the process executable even without prior knowledge through a clearly defined procedure. For visualization, mostly graphically oriented notations are used, such as event-driven process chains (EPC) or the Business Process Model and Notation (BPMN). Process modeling can be supported by business process management software such as Camunda or Signavio.

Signavio offers the advantage that your process knowledge is available company-wide in a “Collaboration Hub”, that comprehensive tools such as process mining and data-supported target process definition can be integrated and that target process deviations can be detected when linked to ERP systems.

Process optimization

In addition to process modelling, process optimization is also a component of process management. In process optimization, already existing and modelled processes are first systematically analysed. The goal of these process analyses can be cost savings, but also the reduction of process throughput times or the increase of process transparency. With the help of defined process key figures, ACTUAL/TARGET comparisons can be carried out and thus process weaknesses and causes for deviations can be identified. In the next step, potential improvements can be derived from this, prioritized, implemented and recorded in the documentation.
